LSI Architects Refine Knowledge Management
LSI Architects is an award winning, AJ100 Architectural Practice with around 70 people. The Practice has extensive experience of undertaking projects for clients of all types, from major contractors, commercial and public sector clients throughout the UK, with a particular focus on projects in London, Norfolk, Cambridge and the Eastern Region.
The practice recently launched Flo10 to address the need for efficient document organisation and a platform where collective knowledge thrives.
LSI Architects Presentation
Discover how LSI Architects, a leading architectural practice in the UK, transformed their project management processes with Flo10. By integrating Flo10's knowledge management and project compliance tracking software into their workflow, LSI Architects improved efficiency, collaboration, and risk management across their projects.
Key Topics
LSI Architects faced challenges with manual processes and spreadsheet-based tracking systems.
The team struggled with maintaining up-to-date records of appointment terms, leading to potential missed opportunities and increased risk.
Flo10 Tracker was initially implemented in 2019 and with the commitment from Ed, LSI Architects streamlined their task flow, focusing on simplicity and efficiency.
The team also revamped their internal knowledge management system, centralising resources and facilitating collaboration across teams.
Benefits
The introduction of Flo10 has been highly beneficial, enabling users to consolidate information into a centralised knowledge base. LSI Architects have delivered dedicated areas for digital design resources and an HR homepage, where users can find all necessary information.
Everything valuable is in one place. Individuals are aware of overdue tasks, the latest practice news, useful HR related information, and key documents. Additionally, LSI Architects are benefiting from storing and retrieving information about staff experience and expertise.
Edward Woodhouse, Operations Manager, explains the advantages of Deltek integration, which facilitates easy document retrieval and task continuation. This is particularly valuable when team members are away on leave.
Karl Brooks, Brand and Marketing Manager, foresees that the system will result in a significant reduction in all staff emails, as users increasingly refer to the HR landing page. Even more encouraging is the organic demand from different departments for a range of topic pages.
In relation to project management, LSI Architects originally implemented Flo10 Project Tracker in 2018. Previously, the practice had used excel sheets to track the project appointment process.
Becky Watson, Assistant Financial Controller, recalls on how using excel sheets for task management was inefficient and difficult to manage effectively. Project tracker helps by delivering a standard approach.
The 'completion by project' report has been particularly useful for tracking larger appointments which can span months.
Moving forwards, LSI Architects are looking forward to utilising the Flo10 ‘reading list’ which allows users to assign content and documents to groups of staff or individual users. LSI Architects plan to implement this feature for the efficient distribution of crucial documents, such as policy updates, and to track user access.
